Hotel sauna installation: a practical handover checklist
A hotel sauna is ready for handover when the installed work can be checked against the agreed brief and the operating team knows what it owns. A finished photograph does not replace an acceptance record.

Agree scope boundaries before fabrication
Put the cabin supplier, main contractor, electrical contractor and hotel operator on one responsibility list. Assign the base, waterproofing where required, power supply, ventilation provisions, delivery access and final finishes. Full wellness facilities may involve construction partners; naming those boundaries early avoids gaps between contracts.
Confirm the measured site before releasing fabrication drawings. Note door openings, lifting or carrying access, the condition of the floor and any work that must finish before delivery. Keep changes to the approved layout in a shared written record.
Set an acceptance plan for the selected equipment
Ask the installer to explain which checks and demonstrations follow the model’s manual and who is qualified to perform them. Review controls, ventilation, clearances, door operation and access to serviceable components against the approved design. Electrical testing belongs to the appropriately qualified contractor, not a guest or reception team.
List defects with an owner and completion date. Distinguish an unresolved safety or operating issue from a cosmetic item. Agree what must be resolved before guest access rather than treating the delivery date as automatic permission to open.
Hand over documents to the people who use them
Give hotel engineering the equipment models, manuals, warranty and maintenance schedule. Give the operating team clear opening, closing, cleaning and escalation instructions appropriate to the installed system. Training should identify the person to contact when the equipment behaves unexpectedly.
Record spare or replaceable items, service contacts and the agreed warranty process. Five Elements offers two-year warranty terms; the project documents should identify coverage and exclusions rather than rely on a headline alone.
Prepare a compact opening pack
Keep the approved plan, equipment list, acceptance record, outstanding-items list, training record and service contacts together. This pack helps a new shift or future maintenance contractor understand what was installed. Ask for a proposal covering construction and supply, or use our consulting direction if the wider operating brief is still being developed.

- Checks against approved drawings and manuals
- Defect list and opening decision
- Manuals, training and service contacts
Does delivery mean the sauna can open to guests immediately?
Delivery is one milestone. Site checks, commissioning, staff preparation and the agreed acceptance conditions still need to be completed.
